The Superintendent coordinates all site construction activities and supervises all field personnel as required to successfully complete the project on schedule and in budget. Job Summary

The Senior Project Manager is responsible for the overall supervision, direction, completion, and financial outcome of Live Oak Contracting’s projects, pursuits, and business growth in the Northeast. This includes leading project teams in the successful completion of quality projects by providing oversight, guidance, and resources throughout the project duration. Manages contractual requirements, agreements with trade partners, work performance, budgets, schedules, and risk mitigation. Represents Live Oak Contracting in building relationships with owners, developers, subcontractors, and vendors. The Successful candidate must be an effective leader, communicator, and mentor who is experienced in multifamily construction and exemplifies Live Oak Contracting’s core values. Must be willing to regularly travel to jobsites across the Northeast, but based at our Corporate Office in Jacksonville, Florida.

  • Manage project finances including budget, buy-out, schedule of values, job costs, requests for payment, monthly owner billings, monthly cost reviews, subcontract change orders, and owner change orders.
  • Oversee performance of all trade contractors and review architectural and engineering drawings to make sure that all specifications and regulations are being followed. Manage, track, and follow-up on all RFI’s and Submittals.
  • Execute the project in accordance with Owner Contract, Subcontracts, Purchase Order Agreements, Service Agreements, and Master Service Agreements.
  • Supervise Project Managers, Assistant Project Managers, and Project Engineers. Follow up on reported difficulties and correct any deficiencies.
  • Regularly update the project schedule. Track events, impacts, and changes in the schedule to allow for the management and prevention of delays.
  • Work with Estimating to coordinate plans, specs, and bids to finalize subcontractor scopes. Negotiate competitive pricing with Vendors and Subcontractors while ensuring complete and accurate scopes.
  • Mentor and train employees to develop and deepen technical, problem solving, and leadership skillsets.

The Project Accountant is responsible for managing the day to day accounting for Live Oak Contracting’s projects as assigned by the CFO. Enter and maintain complete, full-cycle construction job cost accounting for assigned construction projects including project start up and close out, contract administration, and subcontractor / vendor relations. Successful candidates will have experience in multifamily construction and exemplify Live Oak Contracting’s core values. This position is located in Jacksonville, Florida.

Core Responsibilities:

  • Enter in complete contract and subcontract information for our contracted constructions jobs including approved budgets and change orders.
  • Collect, cost code, obtain approval and input all invoices into Timberline.
  • Process weekly check runs.
  • Process pay applications to our clients on a monthly basis, including entry into Timberline.
  • Process Subcontractors’ pay applications on a monthly basis., including entry into Timberline.
  • Draft and track all waivers to accompany pay applications.
  • Draft and track all waivers for subcontractors, vendors, and suppliers.
  • Provide monthly Job Cost reports to CFO, Project Manager, and Senior Management – with comprehension as to where we stand relative to the Job Cost Budget.

The Project Administrator is responsible for providing support to the project management team in the day-to-day administration of Live Oak Contracting’s projects. Facilitate project start-up and close-out, contract administration, subcontractor/vendor relations, client relations, change orders, local permits, licensing, insurance, RFI’s, Submittals, drawings, and revisions. Successful candidates will have experience in multifamily construction and exemplify Live Oak Contracting’s core values. This position is located in Jacksonville, Florida.

Core Responsibilities:

  • Assist Project Manager in set-up, tracking, and management of project contractual paperwork, schedules, financials, and reporting.
  • Interface and correspond with the owner, project management, subcontractors, and vendors.
  • Create subcontracts, service contracts, and purchase order agreements and assign contract numbers as directed. Review and flag any changes, strikeouts, or added addendums for review by the project manager. Facilitate execution and circulate a fully executed document to all parties.
  • Collect insurance, business licenses, and W9 documents from subs/vendors. Review for compliance with project requirements. Regularly review project directory for missing or expired documents and correspond with subs/vendors to keep records current.
  • Process change order requests from subcontractors and vendors. Ensure supporting documentation is included. Draft change order and circulate for approval: review and flag any changes, strikeouts, or added addendums for review by the project manager. Facilitate execution and distribute a fully executed document to all parties.
  • Complete paperwork to obtain permits, business licenses, and project insurance.
  • Ensure proper labor law posters are sent to Jobsite for display.
  • Create project files for corporate office and Jobsite.
  • Create and track all Owner Change Orders and Proposed Change Orders. Ensure all documents are scanned and saved on the project drive, in the project files, and sent to the Jobsite.
  • Create a plan list from contract drawings, upload drawings, send links to subs as needed.
  • Prepare owner-report monthly, circulate to project management for updates and approval, prepare a final report, and submit to the owner.
  • Manage drawing revisions, RFI’s, and Submittals.
  • Request and prepare closeout materials, manufacturing warranties, operations, and maintenance documents, As-Built drawings, and signed notarized Live Oak Warranty forms.
    • Coordinate with superintendents to get completed serial number logs, unit and building acceptances, and inspection documents.
    • Compile all warranty documents and create a hard copy and digital Owner, Warranty Manual. Circulate to owner and leasing maintenance office upon project completion.

The Estimator is responsible for assisting the Director of Preconstruction in the preparation of detailed conceptual, schematic, design development, and construction estimates. They will be accountable for maintaining subcontractor and supplier databases, confirming scopes of work, developing RFI’s, conducting plan and constructability reviews, and producing timely and accurate reporting for every project. They will also represent Live Oak Contracting in developing and maintaining relationships with owners, developers, and trade partners throughout the preconstruction process to ensure high-quality results and competitive pricing on all projects. Live Oak Contracting is committed to assisting eligible students to finance their college education and support the University of North Florida Department of Construction Management. Each year, four incoming Junior and Senior students enrolled in the UNF Construction Management Program who exhibit outstanding academic achievements and extracurricular involvement will have the opportunity to receive financial assistance annually up to $2,500 and will be known as the Live Oak Contracting Scholars.

Live Oak believes that the best talent is derived from well-rounded students and supports diversity in the workplace. Therefore, one award will go to a male or female student who is active in the UNF Women in Construction Club and two awards will be given to members of the National Association of Homebuilders Club.
